Vendor Guidelines

Please read all guidelines before submitting your application.

Vendor Membership Guidelines

  1. Vendor membership fee includes two (2) passes. Food vendors receive four (4) passes. Additional passes available at a fee.
  2. All vendors must participate in two to three orientation sessions with our Merchant Coordinators.
  3. A fire extinguisher is required with any use of flames, generators, or propane. Storage of flammable liquids or gases on site is strictly prohibited. Violators will lose their security bond — no warning.
  4. Construction using wood or heavy materials to build or erect structures is not allowed.
  5. Vehicles may not be left on premises. Drop-off/pick-up during designated hours only.
  6. All vendors selling water must have a special permit issued by IAAFestival.
  7. Regulation 10×10 tents only. Membership fee is based on 10' × 10' space. Oversized tents will not be accommodated. Sankofa spaces are 6' × 8' only.
  8. Tents must be cleaned and closed daily — one hour before the festival ends.
  9. Selling and playing music is by special arrangement only.
  10. All vendors must produce verification receipts when asked by IAAFESTIVAL staff or risk expulsion.
  11. All food vendors must communicate with the IAAF Administrative Office prior to registration approval.
  12. Application and fees must be hand-delivered, emailed to [email protected], or post-marked by the deadline.
  13. Payments are non-refundable. No cash accepted.
  14. For corporate spaces contact the IAAFestival Office at 718-638-6700.
  15. Prospective vendors must complete and return this agreement with payment in full. Incomplete forms will be returned.

Conditions of Agreement

All vendors are required by law to carry individual insurance at the time of purchasing any vendor space. Failure to provide proof of coverage will result in disqualification.

The vendor membership application is subject to the terms and conditions of this agreement, valid for one year from the date signed.

The International African Arts Festival reserves the right to enter the premises at any time to inspect the space and ensure compliance with this agreement.

The member's interest in this agreement is personal and may not be assigned, transferred, shared, or divided in any way without written consent from the International African Arts Festival, Inc.

Registration certificates, insurance, and all required documents must be submitted prior to registration approval. Vendors must also provide two passport-size photos and a picture of items being sold.

Members shall not create, design, or sell any souvenir item featuring the name or logo of the International African Arts Festival.

Members must conduct business in compliance with all applicable federal, state, county, and municipal laws and must act professionally toward fellow vendors, festival staff, and patrons.

Members must keep their space in the highest standard of cleanliness. Failure to comply may result in termination of the agreement and forfeiture of the security fee.

Cancellation policy: Cancellations made 30 or more days before the event are entitled to a refund of all payments less a $300 non-refundable deposit. No refunds for cancellations made less than 30 days in advance. All cancellation requests must be submitted in writing.

The festival is a rain or shine event. No refunds will be issued due to weather conditions.

Illegal selling or playing of music will result in termination of the agreement and forfeiture of the security fee.

Insurance Required: All vendors must carry individual liability insurance. Proof must be submitted before your application is approved.
